Who we are
Take 3 Agency Ltd is a talent agency representing specialist performers for film, television and commercials. We are registered in England and Wales under company number 12216173, with our registered office at Sherwood House, 41 Queens Road, Farnborough, Hampshire, GU14 6JP, and we are registered with the Information Commissioner's Office under reference ZB478678.
We are the controller of your personal data, which means we decide how and why it is used. If you have a question about this policy or about your information, email us at hello@take3agency.com.
If you apply to join the agency, our applications portal will also show you the privacy information that applies to your application when you register.

Who this applies to
This policy applies to:
- Visitors to this website.
- Productions, casting directors and clients who send us an enquiry or book through us.
- People who book a place at one of our events or workshops.
- Performers who apply to join us, and the artists we represent.
- Emergency contacts given to us by an artist.

What we collect
Website visitors. Basic technical information such as your browser, device and the pages you visit, recorded by our hosting provider to keep the site secure and working. See the cookies section below for what is stored in your browser.
Enquiries and clients. When you use our contact form or email us: your name, email address, phone number, company or production, whatever you tell us about your brief, and your marketing preferences.
Event bookings. Your name, email address and the number of places you book. Payments are taken by Stripe on its own secure page; we never see or store your card details.
Applicants and artists. Name, contact details, date of birth, address, gender, nationality and right to work information; identity and right to work documents; headshots, photographs, showreels, measurements, skills, experience and training; availability; bank details, national insurance number and tax details; emergency contact details; and your marketing preferences.
You may also choose to tell us about your ethnicity, health, disability or sexual orientation, and where a client requires it you may provide DBS information. We only process this with your explicit consent, which you may withdraw at any time.
Emergency contacts. Your name and contact details, given to us by the artist.
We collect this from you directly, from publicly available sources such as your social media profiles, from our verification providers, and from artists where you are their emergency contact. Some information is necessary for us to represent you; without it we may be unable to do so.

Artificial intelligence
We use artificial intelligence to help us run the agency, for example to search our roster, to prepare materials and to draft routine messages for a member of our team to check.
- It plays no part in casting. It does not rank, score or shortlist artists, and takes no part in deciding who is put forward for work.
- A person always decides. We do not make decisions about you based solely on automated processing where those decisions produce legal or similarly significant effects.
- Your information is not used to train artificial intelligence models.
- We will not use artificial intelligence to create images that misrepresent you.
Identity, right to work and DBS checks are carried out either in-house or by specialist verification providers using their own technology, whose own policies apply to the documents you submit.

Right to work
You must have the legal right to work in the country where you are engaged. For engagements in the United Kingdom we check your right to work in line with UK requirements. For engagements elsewhere, the production or engager is responsible for the checks required in that country.

Who we share it with
- Service providers who help us run the agency and this website, covering our talent management platform, identity verification, payments (including Stripe for event bookings), accounting, website hosting, IT and email. We are happy to name them on request, and they may change from time to time.
- Productions, casting directors, choreographers, stunt coordinators, clients and others involved in engaging performers. This includes jobs you have been booked for, jobs we are putting you forward for, and approaching a production speculatively.
- Our professional advisers, and law enforcement or regulators where required by law.
- A buyer of our business, or another party in a restructuring, subject to confidentiality.
Documents we send out. To find work for the artists we represent, we send documents to clients, productions and casting directors, including lookbooks, booking sheets and call sheets. These can include your photograph, measurements, professional name, date of birth and contact details.
This is a requirement of being represented by us. If you do not want your details shared with the people who may engage you, we are not able to represent you.
Once a document has been sent it may be downloaded, printed or forwarded, and we cannot recall it.
We never sell your information.

Transfers outside the UK
Some of our service providers store information in the European Economic Area, and our verification provider stores information in the United Kingdom. The UK recognises the EEA as providing an equivalent standard of protection, so no additional safeguards are required for these transfers.
Some of the providers that host this website, deliver our email and take event payments are based in the United States and may process information there. Where they do, we rely on the UK Extension to the EU-US Data Privacy Framework or on approved safeguards such as the International Data Transfer Agreement or the UK Addendum to the standard contractual clauses.
Where you are engaged on a production outside the UK we will share your details with that production, which may mean sending your information beyond the UK and EEA. Where that happens we rely on the country being recognised as providing adequate protection, on approved safeguards such as those above, or on the transfer being necessary to perform our contract with you.

Security
We have appropriate technical and organisational measures in place to protect your information, and we limit access to those who need it. This website is served over an encrypted connection. We have procedures for handling suspected breaches and will notify you and the regulator where required.

How long we keep it
How long we hold something depends on why we collected it. The periods below are our normal practice rather than fixed guarantees, and we may hold information for longer where the law requires it or where it is needed for a legal claim.

When representation ends we keep only what we still need to meet our legal, accounting and contractual obligations, to deal with a dispute, or to establish or defend a claim. Everything else is deleted or anonymised.
Where we keep an unsuccessful application, we do so on the basis of our legitimate interests in considering applicants for future opportunities. You can ask us to delete it at any time, and you are welcome to apply again.

Your rights
You have the right to access your information, correct mistakes, request deletion, restrict or object to processing, receive your information in a portable format, and not be subject to decisions made solely by automated means. You may withdraw consent at any time, and you can stop marketing emails at any time.
To exercise a right, email hello@take3agency.com. We may need to confirm who you are before we act on a request. We will normally respond within one month, and will tell you if we need longer.

Cookies
This website does not use advertising or tracking cookies. It remembers two small preferences in your browser: whether you chose the light or dark theme, and which city the clock in the header shows. If you start an enquiry or an event booking, what you typed is kept in your browser for that visit only, so it is not lost if something goes wrong. None of this is sent to us, and you can clear it at any time in your browser's settings.
Our fonts are served from this website, so nothing about your visit is passed to a font service. When you pay for an event you are taken to Stripe's secure checkout, which uses its own cookies to process the payment and prevent fraud, and Stripe's own privacy policy applies there.
If we add cookies that are not strictly necessary, we will ask for your consent first, and you will be able to change your preferences at any time.
